Instructions to join Council Meeting
Type into your browser
http://univasia2.centra.com/main/Customers/demo/saba/GlobalMedia/
On the left hand side menu click on Public Events
Find your scheduled May 21 meeting (you may need to use the calendar).
Your meeting is called APECS meeting 21 may @ 12.00 UTC_GMT
Click Attend
Follow the steps and the Centra event will take a few moments to load and open.
Once the event opens you will need to do an audio check. Make sure you tick the correct option for your audio system. If you have a headset/mic, you will need the headset with microphone plugged into the soundcard of your computer. Follow the onscreen prompts to configure your audio. This should come up automatically, if not, click on Tools / Audio Wizard and follow the prompts.
The colours of headset leads are often standardised today.
Black lead (speakers ) – plug into green socket in soundcard
Blue lead (microphone ) – plug into pink socket in soundcard
If you have a webcam, do a video check Tools / Video / Video Wizard (a camera is not necessary however it does allow us to see you! Currently webcams will only work with PC computers, Mac version being released soon!)
Once finished you will re-enter the event. You will enter as a participant. During the meeting I may promote you to presenter staus in which case you will have access to more tools, eg mark up tools.
Click through any content loaded in the Agenda at bottom left of screen.
To talk, hold down the Control button for PC users (or Option key for Mac users)
Below are some quick instructions for event participants.
Spend some time getting used to the interactive tools (ie along the top toolbar) and the markup tools (directly below this)
• Hand – click this when you want to ask a question, a hand and number will appear by your display name indicating what number in the question queue you are
• Green tick/Yes – click to indicate ‘yes’
• Red cross/No – click to indicate ‘no’
• Smiley face – click to respond to something humorous
• Applaud – click to give a presenter/participant some positive feedback
• Step Out – click if you need to leave your computer for a while during an event, then click again to re-enter the event
• Text Chat – click to open the Text Chat window, drag to bottom right of screen. This can be used to communicate during an event. Type in the bottom space, click Send then your text will appear in the top public space with your event Display Name for all participants to view. For example, each participant could be asked to communicate via Text Chat what organisation they’re from, where they’re located, what country and how many people are with them participating in the live event. It can be also be used during an event to record any questions participants might want to ask guest presenters, and provides and excellent way for participants to give immediate feedback of the online event (critical in shaping future productions/webcasts).
If you drop out during the event, re-attend using the set up process.

Centra Connection Tips
f having trouble installing the Centra client then the problem is usually at the local site, eg with local network security measures (software firewall).
• seek local IT help
• try opening port 1709
• check there’s not some sort of software on your system that’s banning the Centra software
• make sure http://univasia2.centra.com is a trusted site
Tools / Internet Options / Security / Trusted sites
• if all else fails try a manual install of centra client http://univasia2.centra.com/SiteRoots/main/Install/win32/setup.jhtml
Steps to open port 1709 are as follows:
1. Open port 1709 outbound on your firewall/proxy server.
2. Ensure connections through this port are TCP "socket" connections
(network layer).
3. To test this, Telnet to the Centra Server over port 1709.
4. If you would like added security, you may specify that your firewall
allow the port 1709 connection ONLY to the IP address of the Centra
Server http://univasia2.centra.com
